Desktop

The Parcel Desktop Application allows you to quickly and easily process packages from your desktop computer. All you need to use the Desktop Application are the following:

  • Access to your company's intranet (requires a Web browser and network connectivity)

  • Connection to a local or network printer

  • Use of a scale to weigh the package

With the Desktop application, you can process domestic packages or pre-process international or oversize packages. After you complete Step 5, a paper label prints from the printer you set up to use with Desktop shipping. You can then leave the package at the pickup station in your area. When the delivery person drops off packages in your area, they will pick up any packages at the pickup station and bring them to the mail room for furthering processing and eventual pick up by the carrier with which you selected to ship the package.

There are only five steps to processing a package with the desktop application. Simply click \[NEXT\] after completing a step to proceed to the next step. Or use the bars on the left side of each page to navigate through the steps. Note that you must complete Steps 2 and 3 in order to ship the package.

Step 1 - Sender Address Information

If you completed the Sender Location Tab on the My Preferences page, that address appears by default. Otherwise, your shipping location address appears by default. This address appears as the 'From' address on the shipping label and supporting documentation. This address is also used as the return address if the package needs to be returned.
If you want a different 'From' address or return address to appear on the shipping label (for example, if there is a special address for handling returns), select a different location using the Location hyperlink at the top of the page or edit the following text boxes as needed. 1. Click the Ship menu and select From Hold.

  2. In the From Hold - Find a Hold Shipment section, enter some criteria by which to search for shipments that were processed to Hold.

    Where / Equals

To find shipments based on a specific piece of information.
In the Where list, select the data type, then type the corresponding information about the shipment you want to find in the Equals box.
For example, to search for a shipment for a specific customer, select 'Ship To' in the Where list, then type the customer's name or customer ID in the Equals box.

    Location

    Select the DC location.

    Source

Search the shipments that are On Hold based on different sources of origin. The available sources are: Warehouse, Connect, Group, Batch, Failed Group, Failed Batch.

  3. Click SEARCH to search for shipments that match the information you entered. If no shipments that match the information can be found, a message is displayed at the top of the page. Otherwise, the matching shipments appear in the Search Results section in the lower part of the page.
Note: The number of records that appear in the first window is a setting in your
    profile.
    - or -
Click CLEAR to clear the boxes to begin a new search.

  4. In the Search Results section, locate the shipment you want to release from Hold:

    • You can sort the results by clicking the column labels.

    • If there are more results than can fit on the page, use the right arrow to view the next pages. Then use the left arrow to go back to the previous pages.

  5. Once you have located the shipment you want to release from Hold, select the radio button in the far-left column of the shipment, then click EDIT SHIPMENT.

  6. The shipment information is populated on the Warehouse page. You can edit the information if necessary. When you are done editing the shipment, click SHIP. This commits the shipment to the System of Record database and prints the shipping label and other documentation for the shipment.

Note: Carrier Packaging Type is associated with a specific Parcel. When you retrieve a shipment from Hold, to display the correct Carrier Packaging Type for that parcel, you need to select the parcel from the list, and then click EDIT. This action displays the Carrier Packaging Type you selected earlier for this parcel before performing the Ship to Hold.

Default values with From Hold processing

When performing a From Hold operation, Parcel populates any blank fields with their default information in the following preferential order:

  1. Non-blank, user-entered information at ship time.

  2. User Profile Defaults.

  3. Carrier Shipper Defaults Address tab.

  4. Location Defaults.

You need to take this protocol into account if you change any information when performing a From Hold operation.
For example, if the following is the default information for Sender (Shipper):
Shipper Defaults Address tab, Address 1: 1 Main St.
Shipper Defaults Address tab, Address 2: Bldg. 1
Shipper Defaults Address tab, Address 3: 1 Main St.
And the user enters the following information when shipping To Hold and From Hold:
(Sender) Address 1: 212 Faraway Rd.
The fields on the From Hold shipment are populated as follows:
Address 1: 212 Faraway Rd.
Address 2: Bldg. 1
Address 3: 1 Main St.
As an additional example, suppose you are using the Shipper Defaults information for Sender and populate all three address fields for a Sender location in Shipper Defaults. When performing a From Hold operation, if you change this information so that the third address field is blank, Parcel populates this field with the default value entered in Shipper Defaults.

Close - Closing Carriers

Before you can release shipments for pickup by the carriers, you must close those shipments in Parcel. When you close a carrier's shipments, a manifest is created. For some carriers, you can then upload the manifest to the carrier's server electronically. You can also print any required reports that must accompany the shipments when the carrier's driver arrives to pick them up.
Notes:

  • The buttons that are displayed along the bottom of the Close Manifest screen are carrier specific. To activate buttons for a specific carrier, perform a search on that carrier (see below) to return only shipments by a specific carrier. The close options for that carrier will then be displayed as buttons at the bottom of the screen. If you have shipments for all carriers displayed, then only the CLOSE is displayed.

  • For supported carriers, you can use Parcel's Close by Trailer ID functionality. See the following topic: Trailer ID .

In case shipment has already been closed, those shipments will remain untouched.
Note: You cannot void a shipment once it is closed.

    Notes on closing FedEx shipments

Take note of the following limitations when closing FedEx shipments:
Force Close Time − It is important that you close FedEx shipments before the force close time setting configured on the FedEx Server. If you do not close FedEx shipments before the force close time setting, the FedEx Server force closes those shipments. When the FedEx Server force closes shipments, the status of those shipments is not updated to closed in Parcel. Because this can lead to confusion when viewing the status of FedEx shipments, you should close FedEx shipments in Parcel before the FedEx Server force closes them. You can use the Scheduler features in the System menu to schedule the closing of FedEx shipments in Parcel before the force close time.
Parcel now supports closing FedEx shipments by service. The following Close by Service options are available: - FedEx Ground® - FedEx Express Saver® – - FedEx International Priority DirectDistribution®

Note: You can also still Close FedEx shipments using All (set the value of Group By to None).

Notes on closing UPS SCS shipments

You need to keep the following considerations in mind when closing UPS SCS shipments:

    • Closing the current day's shipments follows the standard Close process. However, you cannot close future shipments with a UPS SCS carrier.

    • If shipments are not closed for the previous day, the UPS SCS Web service automatically closes them at 2 AM ET. However, the Parcel database is not updated in the event of this automatic close. Closing shipments for a previous day causes Parcel to look up the previous day's shipments and retrieve the manifest numbers so that they can be printed through the Parcel UI. This event also marks the shipments in the local Parcel and SOR databases as Uploaded.

Including Group shipments in a Batch shipment

You can include a Group shipment in a Batch shipment. After you create a Group shipment, add it to the Batch where you want to include it in the same way you add any shipment to a Batch.

  • Add Shipments to a Batch

Note that after you add a Group shipment to a Batch, and then process the Batch:

  2. When you process the Batch, the Progress Bar displays each Group shipment in the Batch as a single shipment. For example, if you have five shipments (including one Group shipment) in the Batch that you are processing, and the Group shipment is the first shipment processed, the Progress Bar displays "1 of 5" when the Group shipment is processed.
