Processing a Shipment To Hold

If you want to place a shipment on Hold to save most of its information before actually shipping the shipment and printing the shipping label and other documentation, you can process the shipment to hold. Once you are ready to ship the shipment, you release it from Hold.
New features associated with Processing a Shipment To Hold in this Parcel release are as follows:

  • Default Ship-to-Hold

  • Automatic generation of Shipment ID with default Ship-to-Hold

To process a shipment to Hold...

  1. Complete the Warehouse page for the shipment. Before you click SHIP at the bottom of the page, select the To Hold check box.

  2. Click SHIP.

Parcel assigns a unique number to the shipment and displays the number of the page. You can use the number to release the shipment from Hold.
Note: Parcel does not generate a tracking number or print labels or other documentation for shipments processed to Hold. Also, the shipment's information is not recorded to the System of Record database when shipped to Hold. All of those things occur when releasing the shipment from Hold.

Default Ship-to-Hold

The Parcel Administrator can configure any user so that when that user clicks SHIP to process a shipment, the shipment is automatically placed in the "to Hold" category. This feature is called Default Ship to Hold.

Note: Configuring a user with the Default Ship-to-Hold role entails the same basic tasks as the general user configuration process. For more information on this, see System - User Accounts - Overview and Global Settings - Roles.
To configure default ship-to-hold for a specific user, the administrator assigns the user to the To Hold group as follows:

  1. From the System menu, select User Accounts > Groups to display the Groups screen.

  2. In the list of groups, activate the radio button next to the tohold group, and then click VIEW at the bottom of the screen to configure this group.

  3. From the list of Modules, click Right Arrow to assign the modules to this group to have, and then click UPDATE.

  4. From the System menu, select User Accounts > Roles to display the Roles screen.
    Note that the toh role is the non-deletable default ship-to-hold (default hold shipment) user role.

  5. Activate the radio button next to the toh role, and then click VIEW at the bottom of the screen to configure this role.

  6. In the *Available Groups* list, select the tohold group, click Right Arrow to add this group to the *Assigned Groups* list for the role, and then click UPDATE.

  7. To assign:

    1. A new user to the tohold Role, from the System menu, select User Accounts > Users, and then, on the User Names screen, click ADD. On the Add User screen, when filling in the fields for the user (see System - User Accounts - Overview and Global Settings - Roles)from the *User Role* drop-down list, select *Default hold shipment user{*}. Click SAVE to save the new Ship-to-Hold User.

    2. An existing User to the tohold Role, from the System menu, select User Accounts > Users, and then, on the User Names screen, select SEARECH to display a list of Users. Activate the radio button next to the User to whom you want to assign the the *tohold* Role, and then click VIEW. From the *User Role* drop-down list, select Default hold shipment user, and then click UPDATE to update this user with the Ship-To-Hold Role.
      Notes:
      If a user is part of the To Hold Group, when that user is configuring a shipment, the To Hold check box is not checked by default.
      If a user is part of the To Hold Group, that user does not need to provide a Shipment ID.

Automatic Generation of Shipment IDs with Default Ship-to-Hold

If your Parcel Administrator assigns you the toh (Default Ship-to-Hold) Role, and you do not provide a Shipment ID for a given shipment, Parcel automatically generates a Shipment ID and assigns this ID to your shipments that go to Hold.
The form of an auto-generated Shipment ID is as follows:
<3-Character_Prefix><Location_ID>YYYYMMDDHHMMSSnnn
Where <3-Character_Prefix> is the configurable three-character prefix you specify, Location_ID is the ID of the Ship From location in the Configuration settings, YYYY is the year, MM is the month, DD is the date, HHMMSS, is the time in hours, minutes, and seconds, and nnn is a three-character, randomly-generated number appended to the auto-generated ID string to ensure a unique ID.

Notes:

  • You can specify the standard prefix that is prepended to all auto-generated Shipment IDs.

  • This function also configures the Shipment ID for additional processing in the request message.

Shipping From Hold to a different location

If you are shipping From Hold from a different location than that to which the shipment was Shipped To Hold, you need to keep the following considerations in mind:

  • The Sender Address and some other information will automatically be populated with the settings for the From Hold location.

  • You may also need to Edit some information for the changed location, depending on the configuration. You need to verify what if any information needs to be changed; for example: check the Options screen. Only values for configured fields for the location are displayed.
